Before Gemini can help you manage your emails and schedule, you'll need to connect it to your Google Workspace apps. It only takes a minute, and once it's done, everything works much more seamlessly. Here's how to set it up:
- Open the Gemini app on your phone.
- Tap the two-line menu in the top-left corner.
- Tap the Settings icon in the bottom-right corner.
- Under More from Gemini, select Personal Intelligence.
- Tap Connected Apps.
- Turn on the toggle next to Google Workspace.
- Read through the information about how your data is used, then tap Connect.
That's it. Gemini will now work with your Google Workspace apps, including Gmail, Google Calendar, Google Docs, Google Drive, Google Keep, and Google Tasks.

Once everything is connected, using it is simple, too. Whether I'm on my laptop or using my phone, I just open Gemini and tag the Google Workspace app I want to use. If I want a quick overview of everything on my plate for the day, I'll ask something like @Gmail and @Google Calendar, and Gemini pulls together the important emails, upcoming meetings, deadlines, and events without me having to dig through multiple apps.
The trick, though, is keeping your calendar up to date. Every meeting, assignment, exam, or work deadline should live in Google Calendar. The good news is that you don't have to enter everything yourself either. If I need to add something, I simply tag @Google Calendar in Gemini and tell it exactly what I want to create, along with the date, time, and any other important details. As long as you're clear with your prompt, Gemini usually gets it right the first time.
This has become part of my morning routine. Before I dive into work, I spend a minute asking Gemini what my day looks like and whether there's anything important I shouldn't miss. That quick check-in replaces the usual ritual of opening Gmail, then Calendar, then Gmail again just to make sure I haven't overlooked something.

That said, it hasn't been perfect every single time. There have been days when Gemini didn't give me the information I was looking for on the first try, and I had to ask the same question again — or occasionally even a third time. For example, I asked for my day's schedule and only received my calendar events, while my important emails were left out until I asked again. On another occasion, one of my deadlines didn't show up until I ran the same prompt a second time. In my experience, though, those hiccups have been far more frustrating than disruptive. They're not frequent enough to outweigh how much time Gemini saves me, and they've never caused me to miss an important meeting or deadline.
Even so, I wouldn't recommend relying on it blindly. I still make it a point to glance at my Google Calendar sporadically, especially if I have a particularly busy day ahead. Think of Gemini as a really helpful assistant, not a replacement for double-checking. AI can misunderstand prompts, overlook details, or occasionally make mistakes. Taking a few seconds to verify your schedule is a small habit that can save you from a much bigger headache later.

Since I started using this feature, my workdays have felt a lot less chaotic. I'm naturally someone who likes having everything planned and organized, so having Gemini bring together my emails, calendar, and daily priorities fits perfectly into the way I already work.

Spend a little time experimenting with it — you'll probably discover a routine that suits you better than mine.
